The warning your clients need to read.
Payment fraud works because the email looks like it came from you. A short line, repeated wherever money changes hands, is one of the cheapest ways to stop it. Type your business name and number, then copy the wording for each place it belongs. Use it however you like.
- Closing and real estate firms
On the earnest-money or payment page, next to the button
Our firm will never send you new wiring instructions, or change them, by email, text or phone call. Before you wire any money, call us at [your main number], using a number from our website or your closing documents and not one from an email, and confirm the instructions with a person. If you receive an email asking you to wire money somewhere new, it is a scam. Call us right away.
- Closing and real estate firms
In every email signature
Our firm will never change wiring instructions by email. Before sending money, call us at [your main number] to confirm.
- Closing and real estate firms
In the engagement letter or closing checklist
Wire fraud warning. Criminals send emails that look like they come from law firms, real estate agents and lenders, with instructions to wire money to a new account. Our firm will never change its wiring instructions by email. Before you send any funds, call Our firm at [your main number], a number you have from this letter or our website, and confirm the instructions with a person.
- Property managers
In the lease
Payment changes. Our firm will never change where or how you pay rent by email or text message. Any change will be posted in your tenant portal and confirmed by a phone call from Our firm. If you receive a message asking you to pay rent to a new account, do not pay it; call Our firm at [your main number].
- Property managers
On the payment page and in the welcome email
We will never ask you to send rent to a new bank account by email. If you get a message that says we did, it isn't from us. Call [your main number] before you pay.
- Funeral homes
On every obituary and service page
The livestream and any payment links for this service are on this page only. Our firm will never ask you for payment or card details through a social media message or a link someone else sends you. If you are unsure whether a message is from us, call [your main number].
- Any business
On invoices and in billing emails
Our bank details do not change by email. If you receive a message asking you to pay Our firm into a different account, call us at [your main number] before paying.
The warning only works if the email itself can't be faked. Check whether someone can send mail as your business with the free email forgery check, and read how closing firms stop wire fraud or fake bank-details emails to tenants. This is plain wording, not legal advice; have your attorney look at anything that goes into a contract or lease.
